Want to be great at SEO? Practice, make SOPs, improve the SOPs, then practice again. That one line is the closest thing I have to a secret, and it is why I can run SEO for four B2B companies and 35+ clients without living inside every task.

I learned it the hard way. At FreeUp, my partner and I hired close to 100 freelancers and had to let about 50 go, and the people who stuck were the ones we handed a written process to. That system took FreeUp from $5,000 to $12M ARR before our 2019 exit to The HOTH, and the same discipline later grew TrioSEO’s traffic 400% in six months.

So here is how I build SEO SOPs today: what an SOP actually is, why it beats raw talent, the five I document first, how to write one, and how to hand it off so it gets used.

The short version, for anyone who wants the shape before the detail. My approach to SEO SOPs runs on a few rules:

  • Write the SOP for a task you already do well, so you are documenting a proven workflow rather than a guess
  • Keep every step an action a new person can follow without asking you a question
  • Build the five highest-impact SOPs first, then expand from there
  • Add a re-check step to every SOP, because search keeps moving and a stale process quietly does damage
  • Hand each finished SOP to a specialist and let the document do the managing for you

Do that and SEO stops depending on you remembering every step, and starts running like a machine you own.

An SEO SOP is a written, step-by-step guide for one SEO task, detailed enough that someone else can run it the same way you would. Keyword research is one SOP, publishing a blog post is another, and a technical audit is a third.

The word people trip on is standard. An SOP is not a vague best-practice doc that lives in a folder nobody opens. The good ones read like a recipe: do this, then that, here is the tool, here is what finished looks like.

I keep my own set documented in my library of SEO and marketing processes, so the team is never guessing at how I want the work done.

Why SEO SOPs Beat Talent Every Time

Process beats talent over time. A brilliant SEO with no system is one bad week away from dropping the ball, while an average operator with a great SOP delivers the same result every single time.

Three things change once your SEO lives in SOPs:

  1. 1Consistency. Every audit, every post, every outreach email meets the same bar.
  2. 2Speed. Onboarding a new hire drops from months to days because the knowledge sits on the page.
  3. 3Freedom. I stopped being the bottleneck for my own companies once the process carried the detail instead of my memory.

Document These 5 SEO SOPs First

You cannot document everything at once, so start where the payoff is highest. These are the five I write before anything else:

  2. 2On-page optimization. A repeatable checklist for titles, headings, internal links, and images. Google’s Search Essentials sets the baseline here: use the words people search in your title and main heading, and keep your links crawlable.

  4. 4Technical checks. The crawl, index, and speed items you run on a fixed schedule so nothing breaks quietly in the background.
  5. 5Reporting. What you pull, from where, and how often, so results stay visible without a monthly scramble.

How to Write an SEO SOP Step by Step

The writing itself is simpler than most people expect. Here is the exact sequence I follow.

Map the Real Workflow First

Do the task once and write down every move as you make it. The best SOP is a recording of a workflow that already works, so document the proven version rather than an idealized one you wish you followed.

Write Each Step as a Single Action

Every line should start with a verb and cover one action. Open the tool, paste the list, sort by the column, export the file. If a step needs a decision, spell out the rule so the reader never has to guess what you would have done.

Add a Screenshot and a Short Video

Words carry the logic, visuals carry the detail. A quick screenshot or a two-minute Loom of you doing the step removes most of the back-and-forth that kills a team’s momentum.

Turn It Into a Checklist

Prose explains, a checklist gets used. Once the steps are written, collapse them into a checkbox list your team runs top to bottom, so nothing gets skipped on a busy day.

Test It With a Fresh Set of Eyes

Hand the draft to someone who has never done the task and watch where they stall. The spot where they get stuck is the step you wrote for yourself instead of for them, and fixing it is what turns a document into a real SOP.

Keep Your SEO SOPs From Going Stale

An SEO SOP is a living document, because search keeps moving underneath you. Google runs core updates several times a year, and there is no trick that survives them, only the habit of shipping work people genuinely find helpful.

So every SOP I keep has a re-verify step baked in. Anything that touches an SEO mechanic or a Google policy gets checked against current guidance before it ships, because a process that quietly teaches an old tactic is worse than no process at all. Google says it plainly in its own guide: check previously published content and update it as needed.

The standard I write into every content SOP is the one Google rewards: create it for people first, with real experience behind it, rather than for a ranking you are trying to game.

Hand the SOP Off to the Right Person

A finished SOP is only worth something when someone else runs it. That is the whole point: build the process, then give it to a specialist so your own hours go to strategy.

I do not try to hire the best SEO in the world. I hire a capable person, hand them a great SOP, and let the process carry the expertise. When you are ready to build that bench, I keep a running list of where to find freelancers who can take the work off your plate.
